To say that 2020 wasn’t a typical year for event planning is quite an understatement! For one thing, the past year has triggered a new list of items – and expenses – to add to your event budget. And while no one is looking to add expenses (especially for something they may not even like,) we can all agree that there really isn’t a choice when it comes to the safety of your guests. But don’t worry, IEM has already put a list of items together!
Here’s what we recommend:
Masks
Masks are likely the most important COVID wedding expense you’ll need to plan for: They are the number-one way to keep your guests safe, even with outdoor celebrations and enforced social distancing. You can choose to provide masks for all guests or just your family/wedding party. Either way, have extras available for anyone who needs them.
Use this as an opportunity to be creative: You can order customized masks to reflect your theme or keep things simple with a plain colored mask to match your attire.
Hand Sanitizer
Hand sanitizer is another key item to include to ensure the safety of your guests, and another opportunity to be creative and incorporate hand sanitizer into your celebration. Customize the labels with your wedding monogram or design, set up decorated sanitizing stations throughout the venue, or give out personalized bottles as wedding favors.
Thermometers
Now that we finally got guests to arrive at our events in person, having temperature checks upon arrival are a quick and easy safety precaution. Some venues may have their own, but if not, invest in a digital touchless thermometer that takes an infrared forehead scan in just a few seconds. Just about everyone in Israel is familiar with them from shopping malls, supermarkets and other public spaces, and will not be put off. On the contrary, they will most likely be grateful.
Social Distancing Signage
Informative and decorative signs are always a creative and fun event staple and offer a new and creative way to share information about your wedding. Use them to remind guests to wear their masks and social distance, find hand-washing stations, or simply share your gratitude with those in attendance.
Goodie Bags
Sending swag bags or welcome boxes to loved ones ahead of the event is a fun way to get everyone excited about the big day, especially for guests who are attending virtually. Consider including items like ceremony programs, sweet treats, and other favors to make them feel included. If the event is in person, you may consider handing each guest a goodie bag with a mask, hand sanitizer, wedding program, personalized note, and any other favors
Event Planner
The stress of postponing your event or navigating constantly-changing COVID regulations is overwhelming. If you are struggling to deal with it all, consider hiring an event planner to take over for you. Not only will they help alleviate your anxiety leading up to the big day, but your planner can coordinate and enforce safety practices among the guests and service providers at the event. Event planners can do it all, and some offer à la carte services, like being at the venue on the day of the event.
Outdoor Weddings
Outdoor weddings are extremely popular in Israel, thanks to great locations and great weather throughout most of the year. There are beautiful outdoor venues that can accommodate both large and small weddings, from rustic to elegant. What makes an outdoor space fun is the ability to design it and create the atmosphere of your dreams! Basic expenses to consider, depending on the venue, may include; tent, furniture, flooring, fans or air conditioning, and lighting.
Change-the-Date or Postponement Cards
Here’s hoping that we no longer have to change or postpone events in 2021, but be prepared just in case. Always inform guests with a “Change the Date” card or by sharing frequent updates on your event website. Remember to keep the message positive and cheerful.
Additional Serving Staff
Event venues and caterers are going above and beyond to ensure guest safety with creative services for food and drink, including individual servers to the guest tables or servers at the buffets and bars. Adding tables to accommodate social distancing may also require additional wait staff. Talk to the venue and the caterer and be prepared to add that to your budget.
Food Safety Equipment
Additional staff is not the only additional cost at events, as many food and beverage vendors are implementing new measures to keep everyone safe at events. Plexiglass barriers, single-use food packaging, and disposable gloves are examples of what may be included at events right now, and the costs may be passed on to you. Make sure to read your contract carefully, or simply ask your vendors directly to clarify what they provide and if there are safety items they will require you to arrange.
Livestreaming Equipment and Fees
Virtual events involve loved ones who can’t celebrate with you in person, so make sure to do it right. There are a few things that will take the experience to the next level, like high-quality speakers and microphones, as well as professional lighting. Ask your photographer or videographer if they offer these services. They may do so at a discounted price. Crucial tip: Make sure to test the strength and reliability of the internet at your venue ahead of time!
Alternative Entertainment
Remember long, long ago when we used to complain that the dance floor was too packed? While guests may not feel comfortable dancing close to others, consider other ways to entertain your guests at the wedding reception: Stand-up comedians, live event artists, magicians, mentalists. and 360-degree photo booths are just a few favorite ideas. Choose something fun that reflects your personalities and style, while staying within your budget.
